Your clients see your firm. Not us.

Connect your domain and every teammate sends from their-name@yourfirm.com.au with proper DKIM signing - the local-part is derived from the email each user signed up with, so nobody can free-text another person's identity. Both checks have to pass before we flip your sending domain on - protects your domain's reputation from day one.

Step 1

Verify your domain

Enter your apex domain. We hand back 7 DNS records (3 DKIM keys + SPF + Mail-From MX + Mail-From SPF + DMARC) with copy buttons. Paste them at your DNS host. Most providers propagate in 10-60 min; we re-check every 5 min until verified.

Step 2

Verify your sending mailbox

Confirm the sending mailbox at your firm (e.g. admin@yourfirm.com.au). We email a 6-digit code there to prove the mailbox is real and monitored. Until you enter the code, sending stays on the fallback so client communication never breaks.

Brand trust

Clients see your firm in the From line, not ImmiIQ. Looks like the rest of your client communication. Higher open rates, fewer spam-folder accidents.

Proper DKIM signing

Every outbound email is cryptographically signed with your domain's DKIM key. Receivers (Gmail, Outlook, ProtonMail) verify the signature and trust the sender.

Replies still thread

Reply-To routes to your per-org inbound address (inbox+orgN@in.immiiq.com). Clients hit Reply, the message lands on the right case in your inbox - same as today.

Deliverability defence

We protect your reputation. Aggressively.

Once you're sending from your domain, your firm's reputation with Gmail and Outlook is on the line. We monitor it for you and step in before it gets bad.

Real-time bounce + complaint tracking

Every delivery, bounce and complaint gets logged per-tenant. You see a live 7-day deliverability dashboard on the settings page so problems show up immediately, not next month.

Pre-send validation

Every recipient address is checked for deliverability before sending. Obvious typos, disposable inboxes and disabled mailboxes get rejected up-front - they never become bounces.

Auto-pause on trouble

Bounce rate above 2% (or complaint rate above 0.03%) sends you a warning. Above 3% bounce or 0.08% complaint, we automatically pause your domain and fall back to our default sending address until you fix the underlying list - protects your sender score before Gmail notices.

Per-recipient suppression

One bad address bouncing = that address is auto-blocked for your org. We never re-send to it. Your remaining list stays clean and your reputation stays healthy.

Per-user identity

Every teammate sends as themselves.

Once your domain is verified, every team member sends from their-name@yourfirm.com.au - derived from the email they signed up with. Clients see a real human in the From line, not a shared inbox or a marketing address.

Signup-derived local-parts

Each user's send-from address is locked to the email they registered with. If Sarah signed up as sarah@smith-migration.com.au, that is exactly what her clients see in the From line.

WYSIWYG per-user signatures

Every team member writes their own signature in a rich editor - role, direct line, MARN, formatting and links. Pinned to every email they send so their personal sign-off is consistent.

Admin defaults for foreign domains

When a user signs up with an email outside your verified domain, the admin sets a default local-part (e.g. agent2@yourfirm.com.au) and a default WYSIWYG signature for them at the org level. Onboard new staff without a per-user setup detour.

Trust + impersonation defence

Nobody can free-text the From line.

Because the local-part is derived from a verified signup email and admin defaults, no team member can free-text something like ceo@yourfirm.com.au and send under another person's identity. Your firm's domain stays protected from inside the building, not just outside it.

Signatures

Signatures that actually look like your firm.

Paste your existing Outlook or Gmail signature and the logo, table layout and coloured role line come through intact. Or drop into HTML mode and paste raw source for pixel-perfect fidelity.

Visual mode

A WYSIWYG editor with tables, images, links and colours. Paste from Outlook or Gmail and the layout survives - logo left, contact block right, no forced collapse into a single column.

HTML mode

Two-tab layout. Switch to HTML and edit raw source when you need pixel-perfect fidelity. Any <style> block gets CSS-inlined on save so class-based rules still render in Gmail, Outlook and Apple Mail.

Images auto-upload

Drop a logo and it uploads to storage instead of bloating outbound mail with a data-URI. Recipients see a proper referenced image; your firm keeps a stable asset URL.

Table layouts survive

The logo-left, details-right layout every migration firm uses is preserved on send. Table structure is respected in both Visual and HTML mode - no silent flattening.

Email aliases

Signed up with Apple, Gmail or Hotmail? Still send as your firm.

The old rule locked each teammate's From line to the email they signed up with. That broke for teams whose staff signed up via Apple SSO or a personal Gmail. Admins can now assign a per-teammate alias on the verified firm domain so outbound mail always goes from sarah@yourfirm.com.au regardless of how the person logged in.

Admin-assigned aliases

From Team Settings, assign each teammate a local-part on your verified domain. The alias becomes their outbound From line straight away and stays impersonation-safe because only admins can set it.

Works with Apple SSO + Gmail signups

Teammates who signed up with an Apple ID, Gmail or Hotmail address are no longer stuck sending from a personal address. Their alias is what clients see; their signup email stays their own login.
