OAuth 2 in two clicks
Admins connect QuickBooks from Settings > Integrations > QuickBooks. Approve the scopes, authorise the company, done. Credentials are sealed with your organisation's own key and never leave your org boundary.
Hourly polling
No webhooks, no tunnels, no signature-verification headaches. Every hour ImmiIQ asks QuickBooks what changed - invoices and payments in one request - and reflects it here. An invoice whose balance has reached zero announces itself paid once, not once per poll.
Per-client sync buttons
On any client billing tab, a 'Sync to QuickBooks' button creates or updates the matching customer and pushes outstanding invoices. A sponsor becomes a customer for what it owes you and a vendor for what you owe it. One click, one audit log.
Items and tax codes, mapped once
QuickBooks wants an item and a tax code on every invoice line and a deposit account on every payment. You map each service in your fee schedule to an item, pick your GST, GST-free and out-of-scope codes and choose the account the money lands in. After that, nothing is asked twice.
Invoice mirror, no drafts
QuickBooks has no draft status, so an invoice goes across the moment you send it - never before. A payment applied in QuickBooks brings the balance back and a zero balance flips the ImmiIQ invoice to paid. The books stay one book.
Cross-client sync log
Accounting > Accounting sync shows every sync attempt - success, error, last-seen timestamp and the reason a failure failed - and a drift panel for any invoice where QuickBooks and ImmiIQ hold a different paid figure. One view for the whole firm.
Currency, held honest
Each invoice is pushed in its own currency. QuickBooks fixes a customer's currency after first use, so an invoice that would land in the wrong one is refused and logged with the reason - never posted quietly at the wrong figure.
Scoped + audit-logged
We request the accounting scope and nothing else. Every sync attempt leaves an audit row naming the person, the company and what came back - and you are told a week before a connection needs re-authorising.
Every money door writes back.
An integration that only carries invoices leaves your bookkeeper reconciling the rest by hand. Money moves in three places in a migration practice and all three reach QuickBooks.
The invoice you raised
Pushed to QuickBooks as a QuickBooks invoice and a payment applied over there flips the ImmiIQ invoice to paid on the next pull. One bill, one status.
The receipt you issued
Record a payment on a client's file and the receipt goes across as a QuickBooks payment against the right invoice, into the deposit account you chose. The receipt you gave the client and the row your bookkeeper reconciles are the same event.
The trust movement
A transfer out of the trust account posts to QuickBooks too - and cannot be un-posted by a later correction, because an accounting problem must never rewrite the record of regulated client money.
And the client's record says so.
The client money feed carries a chip on every row: pushed, linked or pulled with what QuickBooks says the payment status is. The connection is not a settings page you have to go and check - it shows up where the work happens.
Commissions and payouts, exported.
A firm on Network exports college commission accruals to QuickBooks as invoices and paid partner payouts as bills, from the same sync page. Because QuickBooks has no drafts, each one is issued the moment it lands - the page says so before you confirm.
One suite, no accounting sprawl.
