Recording a conversation is regulated in every state and territory - several require that everyone on the call knows. The consent step is not a formality - the Start button does not exist until it is ticked.
Confirm consent
Tick that you have told everyone on the call it is being recorded and transcribed and nobody has objected. Who, when and which wording go to the audit log and onto the note.
Share the call tab
Chrome or Edge asks which tab to share. Pick the call and tick Share tab audio. A small always-on-top window shows a red Transcribing banner, the timer and Stop for the whole call.
Have the conversation
Look at the client, not the keyboard. If the tab closes or the connection drops, the pieces already uploaded are safe and the page picks up where it left off.
Stop - open the note
Within minutes the filenote is on the client record with the transcript attached, searchable by its summary - and a notification tells you it is ready.
Your recording, your key, your retention
Audio and transcript encrypted under your firm's own key. The audio deletes itself.
Every piece of audio and the finished transcript are encrypted before they are stored, in the same envelope that protects your documents and integration credentials. The plain-text transcript is never written to the database - search works off the summary. An administrator sets how long recordings are kept, 30 days by default or gone the moment the note is written - and any agent can delete the audio behind a note at once. Call notes is an add-on to Pro. 2,400 call-minutes are included every month and minutes past that are billed at A$1 an hour - a rate, not a penalty. Enterprise firms have it included under fair use. The add-on joins your existing subscription as one more line, prorated onto the next invoice.

Which video call platforms does Call notes work with?
Any call you can open in a Chrome or Edge tab - Google Meet, Zoom and Microsoft Teams in the browser - and the Zoom or Teams desktop apps on Windows through system audio. On a Mac the desktop apps do not expose their audio, so join from the browser or upload the recording afterwards. Other browsers get the upload path.
Does the client have to agree to being recorded?
Yes. The agent confirms they have told everyone on the call that it is being recorded and transcribed and that nobody has objected. Nothing records until that confirmation is given. It is written to the audit log with who gave it and when - and a banner stays on screen for the whole call. Obtaining that agreement is the firm's responsibility; ImmiIQ makes it impossible to skip.
What happens if the call runs past the monthly allowance?
The call is transcribed and the note is written as usual. The minutes over the allowance are billed at A$1 an hour on the next invoice. Nothing stops mid-sentence.
Where does the transcript go?
Onto the filenote as an encrypted attachment, downloadable as text or subtitles with timestamps and a search box. It is never stored as plain text - the note itself is searchable through its summary.
Who can see a call note?
Anyone at the firm who can see the client's filenotes, subject to the same per-member module access an administrator sets for everything else. A member can be given the CRM without Call notes.
